wFirma Review 2026: Pricing, Features & Alternatives
Honest wFirma review: pricing, KSeF integration, payment reminders, and when a dedicated alternative like Terminovo makes more sense for your business.
What is wFirma?
wFirma is one of Poland's most established cloud accounting platforms, used by over 3,000 accounting offices and tens of thousands of businesses. Founded in Rzeszów, it covers everything from invoicing to full statutory bookkeeping - and it was the first Polish accounting software to integrate with KSeF (Poland's mandatory government e-invoicing system) back in March 2023, well ahead of the regulatory deadlines.
If you need a single platform that handles accounting, payroll, HR records, and invoicing under one roof, wFirma is a serious option. This review covers its strengths, its real limitations, pricing, and when it makes sense to use a purpose-built alternative instead.
Who is wFirma designed for?
wFirma targets three main audiences:
- Accounting offices managing multiple client companies (the platform has multi-client workspace features built in)
- Small and medium businesses that want full accounting in-house, not just invoicing
- Business owners working with an external accountant who uses wFirma
It is decidedly not a lightweight invoicing tool. If all you need is to send invoices and chase late payments, wFirma has more functionality than you need - and you'll pay for features you never use.
wFirma features: the strengths
Full accounting support
wFirma supports all Polish tax regimes:
- KPiR (Księga Przychodów i Rozchodów - simplified tax ledger for sole traders and small partnerships)
- Ryczałt (lump-sum tax - a flat-rate regime where tax is calculated on revenue rather than profit)
- Pełna księgowość (full double-entry bookkeeping for limited companies and larger partnerships)
This breadth is unusual. Most cheaper invoicing tools only support KPiR. If your business has grown into full bookkeeping territory - or if you run an accounting office serving clients on different regimes - wFirma handles all scenarios.
Payroll and HR
wFirma includes payroll calculation, ZUS (Poland's Social Insurance Institution) contribution management, and basic HR record-keeping. You can generate pay slips, calculate employer costs, and submit declarations to ZUS electronically. For small companies managing their own payroll, this avoids paying a separate HR/payroll tool.
KSeF - first mover in Poland
wFirma launched KSeF integration in March 2023, making it the first Polish accounting platform to go live on KSeF. This matters: the team has had more than three years of live KSeF experience compared to tools that integrated in 2025–2026 just before mandatory deadlines. If KSeF compliance stability is a priority, wFirma's track record is genuine.
Knowledge base and support
wFirma maintains an extensive library of accounting guides, legal updates, and how-to articles in Polish. The support team includes qualified accountants. For business owners navigating Polish tax law without a dedicated accountant on staff, this resource is genuinely useful.
Basic payment reminders
wFirma includes basic functionality to send reminders for overdue invoices. You can flag unpaid invoices and send a reminder email to your client. It works for occasional, straightforward cases.
wFirma pricing (2026)
| Plan | Price (PLN/month) | Key inclusions |
|---|---|---|
| Mikro | 19 PLN | KPiR or ryczałt only, 1 user, basic invoicing |
| Mała Firma | 49 PLN | KPiR/ryczałt, multiple users, KSeF, basic reminders |
| Firma | 79 PLN | Full bookkeeping, payroll, HR, multiple users |
| Firma+ | 99 PLN | Full bookkeeping + warehouse module |
Prices are approximate and subject to change. Accounting office multi-client licences are priced separately. Always verify current pricing on wFirma's website.
The entry Mikro plan at PLN 19/month is competitive for sole traders who only need basic bookkeeping and invoicing. Once you need payroll or full bookkeeping, you're at PLN 79–99/month.
What wFirma does not do well
Advanced payment recovery requires a separate system
wFirma's built-in payment reminders are basic. There is no automated multi-step reminder sequence, no SMS reminders, no scheduling based on invoice due dates, and no reporting on how quickly different clients actually pay you. For systematic payment recovery - especially if you have 20+ invoices outstanding at any time - you would need to add a dedicated tool like Vindicat.
This means two separate subscriptions, two platforms to log into, and manual coordination between them. wFirma does not integrate with Vindicat out of the box; you export data manually.
Interface density
wFirma's interface reflects its accounting-office heritage. The navigation is comprehensive, but for a business owner who just wants to issue an invoice quickly, the menu depth and accounting terminology can be disorienting. Users frequently mention a learning curve, particularly for those coming from simpler tools like iFirma or InFakt.
No automated collections workflow
There is no concept of "this client is 7 days overdue - send reminder 1, then after 3 more days send reminder 2, then escalate." You manage this manually. For a business owner with 5 clients, that is manageable. For one with 50+ active invoices, it becomes a time-consuming process every week.
Not built for the collections-first use case
If your primary pain point is that clients pay late and you want a system that proactively works to get money in on time - wFirma is not designed for that. It is designed for accurate bookkeeping. Those are different problems.
What users say about wFirma
Polish user reviews on Ceneo, Google, and accounting forums paint a consistent picture:
- Positive: Comprehensive accounting coverage, reliable KSeF integration, good support quality, useful for accounting offices managing many clients
- Positive: Broad documentation and up-to-date legal guides
- Negative: Interface is dense and not beginner-friendly
- Negative: Payment recovery is basic - businesses that struggle with late payments report it is insufficient
- Negative: Feels overkill for businesses that primarily need invoicing and collections, not full statutory accounting
The accounting office segment tends to rate wFirma highly. Direct business users who want simplicity tend to find it more demanding than expected.
When wFirma is the right choice
wFirma makes sense if:
- You run a full-service accounting office managing multiple client companies
- Your business requires full double-entry bookkeeping (limited company, larger partnership)
- You need payroll and ZUS management integrated with your accounting
- You have an accountant on staff or work closely with an external accountant who prefers wFirma
- Late payments are not a significant problem for you - your clients pay reliably and reminders are rarely needed
When Terminovo is a better fit
Terminovo is built for a different problem: getting paid on time. It combines free KSeF e-invoicing with automated payment recovery - the kind of systematic, multi-step reminder process that wFirma does not offer.
Where the tools differ

| SMS reminders | No | Yes |
| Payment behaviour analytics per client | No | Yes |
| Reminder scheduling by due date | No | Yes |
| Price for invoicing + KSeF only | From PLN 19/month | PLN 0 (free) |
| Price with payment recovery | PLN 49+ / month + Vindicat separately | From PLN 49/month (all-in-one) |
Terminovo pricing
- Free - PLN 0/month. KSeF e-invoicing, invoice management, basic reminders.
- Starter - PLN 49/month (~EUR 11). Automated multi-step reminder sequences, SMS reminders, payment analytics.
- Professional - PLN 119/month. Advanced automation, priority support, higher volume.
- Business - PLN 499/month (coming soon). Full team features.
Importantly, Terminovo does not charge a separate module fee for payment recovery. It is included in the plan - no Vindicat add-on needed, no second login, no manual data export between systems.
Side by side: which tool fits which situation
Choose wFirma if:
- You run an accounting office
- You need full bookkeeping + payroll in one system
- Late payments are rare and reminders are not a priority
- Your accountant already uses wFirma
Choose Terminovo if:
- You need KSeF invoicing without paying for full accounting software
- Late payments are a regular problem and you want automated recovery
- You want one system that handles invoicing and payment follow-up, not two
- You are a freelancer, consultant, or small B2B business with a manageable number of invoices
Consider using both if:
- Your accounting office uses wFirma for bookkeeping, and you want Terminovo's automated reminders on top of your existing workflow
Final verdict
wFirma is a solid, mature accounting platform - particularly for accounting offices and businesses that need the full stack of accounting, payroll, and bookkeeping in one place. Its early KSeF integration is a genuine differentiator, and its knowledge base is among the best in the Polish market.
Its limitations are real, though. Payment recovery is basic. The interface has a learning curve. And if late payments are your primary business problem, wFirma was not designed to solve it - you will end up bolting on another tool and managing two systems.
For businesses whose primary need is invoicing and getting paid on time, Terminovo's free KSeF invoicing combined with automated payment recovery in a single platform is a more direct fit. You avoid duplicate subscriptions and the friction of exporting data between systems.
The right answer depends on what you actually need. If it's comprehensive accounting - wFirma earns its place. If it's getting paid faster - that's a different tool.
